This is a full-time on-site role as a Depot Manager in Kampala. The Depot Manager will be responsible for day-to-day operations of the depot including stock management, team management, ensuring health & safety standards, and providing excellent customer service.
Key Responsibilities
Finance function
- Ensure billing/ invoicing of all stock issued to either customers or the sales representatives.
- Ensure follow up with the credit customers for confirmation and collection of any outstanding balances are done timely.
- Prioritize collection of all outstanding receivables which are due
- Carry out weekly reconciliation of the sales representatives within your territory
- Ensure all credit customers are confirmed with issuance of KYC forms, Credit agreement and MOU all duly signed before giving stock
- Regular customer visits and sharing of accounts position with the respective debtors.
- Participate in assessing customer’s credit worthiness before approvals to onboard the said customers to credit facility.
Sales Function
- Ensure weekly and periodic stock reconciliation with the sales representatives in his/her territory.
- Ensure correct system usage by the sales representatives and also at the Depot. (Solutech and Odoo)
- Draft and implement territorial plans to enable achievement of territory targets
- Ensure timely support to the sales representatives.
- Carry out visitation of the customers periodically and create rapport to expand sales volumes.
- Study and compile periodic reports on the market dynamics in your territory.
Warehouse Function
- Maintain the stock capacity at the depot and liaise wit Head office for stock transfers on time.
- Issue and approve stock movement to be issued to the respective sales representatives
- Maintain all the records of stock issuance within the depot
- Ensure the depot outlets shop has proper arrangements of shelves and displays of products
- Ensure weekly and periodic stock reconciliation with main warehouse is done.
Human Resource function
- Company values and culture bearer at the depot.
- Monitoring attendance of the sales representatives and any other employee at the station.
- Carrying out Training needs assessment for the Depot employees and coordinating any internal arrangements.
- Supervising all the Depot employees (Sales representatives, stores assistants, Motorbike reps, etc.)
- Act as a reliever in case another employee is out of office on short to mid-term leave.
- Carrying out performance evaluation/appraisals of the team within the depot.
Operations function
- Ensure efficient usage of all tools of trade assigned to the depot
- Carrying out public relations with the community leaders and the business support system
- Ensure optimal utilization of fuel in all the vehicles at the depot
- Ensure safe keeping of the stock, vehicles and any other property belonging to the company is guaranteed
- Safeguard
control and management of vehicle maintenance and repairs and documentation

Qualifications & Experience
- 1. Bachelor's degree in Business Administration, Finance & Accounting, Logistics or related field
- 2. Minimum of 3 years’ experience in warehouse management, Finance and Administration
- 3. Multi lingual skills (minimum fluency in English and any other local language)
- 4. Excellent Computer Skills is a must (MS Office Suite, ERP and SFA systems)
